This Privacy Policy explains what personal information Aviator Intelligence LLC (“Aviator Intelligence,” “we,” “us,” or “our”) collects, how we use it, who we share it with, and what choices you have.

This policy applies to our course platform, our accounts and checkout, our landing pages, our email and messaging, and our coaching services.

1. Information We Collect

Information you give us.

  • Account information: name, email address, password
  • Contact information: phone number, mailing or billing address
  • Purchase information: what you bought, when, and the amount. Payment card details are collected and processed by Stripe. We do not receive or store your full card number.
  • Coaching and service information: resumes, logbook or flight time information, employment and training history, written responses, questionnaires, scheduling details, and anything else you share with us to receive coaching
  • Communications: emails, text messages, form submissions, support requests, and survey responses
  • Recordings: audio, video, and transcripts of coaching sessions and calls, where recording occurs

Information we collect automatically.

  • Device and technical data: IP address, browser type, operating system, device identifiers
  • Usage data: pages viewed, links clicked, course progress, time spent, referring URL
  • Cookies and similar technologies, including advertising and analytics identifiers

2. How We Use Your Information

We use personal information to:

  • Create and manage your account
  • Deliver the products, courses, and coaching you purchased
  • Process payments and issue refunds
  • Send transactional messages such as receipts, access details, scheduling confirmations, and policy updates
  • Send marketing emails about our products and services, where you have opted in or where permitted by law. You can unsubscribe at any time.
  • Provide customer support
  • Improve our products, services, and website
  • Measure the performance of our advertising and marketing
  • Detect, prevent, and address fraud, abuse, security incidents, and violations of our Terms of Service
  • Comply with legal obligations and enforce our agreements

3. Who We Share Information With

We share personal information with service providers who perform functions on our behalf. These currently include:

  • Thinkific, our course platform and hosting provider
  • Stripe, our payment processor
  • GoHighLevel, our customer relationship management, email marketing, scheduling, and landing page platform
  • Google Analytics, for website and platform analytics
  • Google Ads and Meta, for advertising and advertising measurement
  • Airtable, for internal data and workflow management
  • Zapier, for moving data between the systems above
  • Meeting recording and transcription services, for recording and transcribing coaching sessions and calls

We may add or change service providers over time. When we do, they will fall into the same categories described here: hosting and platform providers, payment processors, customer relationship and email providers, analytics providers, advertising and remarketing providers, scheduling and recording providers, and workflow and automation providers.

We may also disclose personal information:

  • To comply with a law, subpoena, court order, or lawful government request
  • To enforce our Terms of Service or protect the rights, property, or safety of Aviator Intelligence, our users, or others
  • In connection with a merger, acquisition, financing, or sale of all or part of our business, in which case we will notify you

We do not share your coaching materials, resumes, session recordings, or session content with airlines, employers, or recruiters.

4. Advertising, Analytics, and “Sale” or “Sharing” of Personal Information

We do not sell your personal information for money.

However, we use advertising and analytics services from Google and Meta. These services place cookies and similar technologies on our site and receive identifiers and usage data about your visit so we can measure our marketing and show you relevant ads on other platforms.

Under some state privacy laws, including California’s, this kind of disclosure to advertising partners may be considered a “sale” or a “sharing” of personal information for targeted advertising, even though no money changes hands. We want to be accurate about this rather than claim otherwise.

You can opt out. To opt out of the sale or sharing of your personal information for targeted advertising, email support@aviatorintelligence.com with the subject line “Opt Out.” This is our designated request address. We will honor verified requests and respond within 60 days, and we will tell you if we need an extension.

You can also limit tracking through your browser’s cookie settings and through the ad settings offered by Google and Meta.

5. Cookies and Tracking

We use cookies and similar technologies to keep you signed in, remember your preferences, understand how the platform is used, and measure and deliver advertising.

You can control cookies through your browser settings. Blocking some cookies may affect how the platform works, including your ability to stay signed in.

Because there is no consistent industry standard for responding to browser “Do Not Track” signals, we do not currently respond to them.

6. Recording of Coaching Sessions and Calls

Coaching sessions and calls may be recorded or transcribed for quality, training, and service delivery. We use third-party meeting recording and transcription services for this.

We will tell you when a session is being recorded. If you do not consent to being recorded, tell your coach at the start of the session and we will not record it.

Recordings and transcripts are treated as confidential coaching materials and are subject to this Privacy Policy.

7. Your Privacy Rights

Depending on where you live, you may have some or all of the following rights:

  • Know and access. Request confirmation of whether we process your personal information and get a copy of it.
  • Correct. Request that we fix inaccurate personal information.
  • Delete. Request that we delete personal information we hold about you.
  • Portability. Request a copy in a portable format.
  • Opt out. Opt out of targeted advertising and of the sale or sharing of your personal information.
  • Non-discrimination. Exercise these rights without being denied service or charged a different price.
  • Appeal. If we deny your request, ask us to reconsider.

How to exercise your rights. Email support@aviatorintelligence.com. Send your request from the email address associated with your account, or give us enough information for us to verify your identity. We will respond within the timeframe required by the law that applies to you, and within 60 days at the latest. We will tell you if we need an extension.

Note on deletion. We may need to keep certain information to comply with legal obligations, resolve disputes, complete transactions, and enforce our agreements, including transaction and tax records.

Nevada residents. Nevada law gives residents the right to submit a verified request directing us not to sell certain covered information. Send that request to support@aviatorintelligence.com.

California, Texas, Colorado, Connecticut, Virginia, and other state residents. The rights above are available to you as provided by your state’s law, including the right to opt out of targeted advertising and the right to appeal a denial.

Authorized agents. You may designate someone to submit a request for you. We may ask for proof of authorization and may still need to verify your identity directly.

8. Data Retention

We keep personal information for as long as your account is active and as long as we need it to provide our services. After that, we keep it only as long as needed for legitimate business purposes, legal obligations, dispute resolution, and enforcement of our agreements. Transaction and tax records are kept as required by law.

9. Data Security

We take reasonable measures to protect personal information from unauthorized access, use, alteration, and disclosure. Payment card data is handled by Stripe under PCI-DSS standards, and we do not store full card numbers on our systems.

No method of transmission or storage is completely secure. We cannot guarantee absolute security.

10. Children’s Privacy

Our services are not directed to children under 13, and we do not knowingly collect personal information from anyone under 13. If we learn that we have collected personal information from a child under 13, we will delete it. Contact support@aviatorintelligence.com if you believe a child under 13 has given us personal information.

Our services require account holders to be at least 18. Minors may use our services only through a parent or guardian’s account, as described in our Terms of Service.

11. Third-Party Sites

Our platform and emails may link to sites we do not control, including airline careers pages and other aviation resources. We are not responsible for their privacy practices. Read their policies before sharing information with them.

12. Changes to This Policy

We may update this Privacy Policy. When we do, we will change the Effective Date at the top of this page. If the changes are material, we will notify account holders by email or by notice on the platform.
